Job Description

The Advancement Associate is an integral part of the advancement team at Bethany Christian Schools, focused on building and nurturing relationships with donors to support the school’s mission. This role emphasizes donor engagement through personal interactions, written communication, and collaborative event planning.

Organizational Structure
The Advancement Associate reports directly to the Chief Advancement Officer and collaborates with other advancement staff, faculty, and volunteers.

Responsibilities

Donor Engagement and Relationship Building

  • Regularly meet with donors (3-5 meetings per week) to build connections, understand their interests, and ask for contributions to support Bethany Christian Schools’ mission.
  • Track and document all donor interactions and engagement activities in the donor database.
  • Maintain an active portfolio of donors and ensure consistent follow-up to cultivate lasting relationships.

Written Communication

  • Write compelling appeal letters, gift receipts, and personalized thank-you notes.
  • Capture and share impactful donor stories for publication on the school’s monthly email newsletters.

Event Support and Coordination

  • Collaborate with the advancement team to assist in the planning and execution of donor events.
  • Provide support for donor stewardship activities and ensure a welcoming environment that aligns with the school’s values.

Annual Report Preparation

  • Support the preparation of the annual report, gathering necessary data and donor stories, and assisting with the content creation process.

Job Description

The Advancement Project Manager for the Advancement Department is responsible for planning and executing both donor and admission events that align with Bethany Christian Schools' goal of creating meaningful experiences and fostering strong relationships with supporters and prospective families. This role involves managing all aspects of event planning, project support and execution to enhance donor and prospective family engagement and strengthen connections within the school community.

Organizational Structure

The Project Manager reports directly to the Chief Advancement Officer and collaborates closely with other members of the advancement team, school staff, and external vendors as needed.

Performance Responsibilities

Event Planning and Execution

  • Lead the planning and execution of key donor stewardship events, including but not limited to donor dinners, homecoming, Grandfriends Day, and other special engagements.
  • Manage all event logistics, including setup, decor, invitations, RSVPs, catering, and audiovisual needs.
  • Develop comprehensive event timelines and ensure timely communication with all stakeholders.

Donor Experience Enhancement

  • Collaborate with the Chief Advancement Officer to align events with donor stewardship goals and strategic initiatives.
  • Maintain a donor-centric approach to all events, ensuring attendees feel valued and engaged.

Communication and Marketing

  • Work with the marketing director to create and drive effective advancement communications, including invitations, programs, and follow-up messages.
  • Ensure consistent messaging that aligns with Bethany Christian Schools’ values and mission.

Alumni Council Oversight

  • Serve as the primary liaison for the Alumni Council, organizing and facilitating quarterly or as-needed meetings.
  • Partner with the council to plan and execute alumni events such as homecoming, a Greencroft gathering, and Alumni Night.
  • Foster engagement with alumni to strengthen their connection to Bethany Christian Schools.

Administrative Support

  • Assist with other advancement projects as needed to support the school’s overall goals.
